Job Description of Executive – Secretariat

PURPOSE of this Position:

  1. To provide administrative, operational and secretarial support to achieve the goals set for the Secretariat and Administration functions of the Synod Office.
  2. Supports the Executive Secretary – Administration and Secretariat in implementing initiatives to enhance PCS's administrative and secretariat capabilities and capacity.

RESPONSIBILITIES and ACCOUNTABILITIES:
Incumbent reports to Executive Secretary – Administration and Secretariat.

  1. Executes plans to achieve key results areas that the Synod Executive Committee has established for the Secretariat function of the Synod Office
  2. Provides secretarial/logistical support to Synod Executive Committee and logistical support to Synod Committees/Councils.
  3. Supports the Stated Clerk in his secretarial duties.
  4. Supports the Executive Director as his Confidential Assistant – providing a full spectrum of secretarial and administrative support.
  5. Maintains and updates all data files, correspondences and all relevant records pertaining to Synod of the Presbyterian Church in Singapore.
  6. Executes specific assigned tasks delegated from Executive Secretary – Administration and Secretariat and by the office of Executive Director

a. Qualification:

  • Tertiary education (preferred) with some experience in administrative, operation and support functions.
  • Proven ability to implement plans and effectively carry out assigned task with minimum supervision.

b. Personal Characteristics:

  • A team player, amicable personality, independent, proactive, meticulous, dependable, confident, calm, and flexible.
  • Possess a respectful disposition and able to value others.

c. Christian Ministry Experience:

  • Some understanding/experience in Christian ministry work.

d. Communication Skills:

  • Strong command of both the English and Chinese languages.
  • Ability to communicate effectively in speaking and writing.

e. Other Business Skills

  • Strong proficiency in Microsoft Office.
  • Ability to multi-task.

f. Relationship Qualities:

  • Ability to interact with different level of stakeholders.
  • Willingness to support co-workers - work together as a team.

Job Description of Executive - Ministries

PURPOSE of this Position:

  1. To provide administrative, operational and secretarial support to the assigned Ministry Committees to achieve the set goals of each ministry.
  2. Supports the Executive Secretary – Ministries in implementing initiatives agreed with Committee Chairpersons.

RESPONSIBILITIES and ACCOUNTABILITIES:
Incumbent reports to Executive Secretary - Ministries
In liaison with Chairpersons of assigned Ministry Committees:

  1. Executes plans to achieve key results areas that Synod Exco has approved
  2. Provide administrative, operational and secretarial support to execute work plans to deliver goals set for each ministry.
  3. In liaison with the Chairperson of each assigned Committee, implement initiatives to grow Synod’s involvement in the assigned ministry area.
  4. Develops strong and growing relationship with leaders of member-churches to facilitate mutual understanding of our partnership in each ministry area.
  5. Maintains and updates all data files, correspondences and all relevant records pertaining to operation and administration of each assigned ministry area.
  6. Executes specific tasks delegated by the Executive Secretary -Ministries and by the office of the Executive Director.
